Ecopia Tech Corporation (“Ecopia”) is committed to protecting the personal information that Ecopia collects through compliance with this policy (the “Privacy Policy”). Note that this Privacy Policy may be modified by Ecopia from time to time. Where a change is material — for example, a change in the categories of Personal Information we collect, the purposes for which we use it, or the categories of third parties with whom we share it — we will update the version date above and provide notice by email or by a prominent notice on our Websites before the change takes effect, and, where applicable law requires it, we will obtain your consent. The most up-to-date version of this Privacy Policy is available in its entirety at www.ecopiatech.com/privacy-policy.
This Privacy Policy applies to Ecopia’s treatment of your personally identifiable information (your “Personal Information”), including any Personal Information that you may provide to Ecopia in the course of visiting our Websites (including the self-service Ecopia Platform), attending webinars or information sessions, or using our products, services, and applications (the “Services”). More information can be found in the Website Terms of Use and Platform Terms of Use (“Additional Terms”).
By using or accessing the Services in any manner, you acknowledge that you accept the practices and policies outlined in this Privacy Policy, and you hereby consent that we will collect, use, and share your information as described in this Privacy Policy. Where applicable law requires your express consent — including for the use of cookies, analytics, and session recording technologies described in the Cookie Policy below — we will obtain that consent separately through our cookie banner or another appropriate mechanism, and you may withdraw that consent at any time as described under “Your Rights”.
We do not knowingly collect or solicit any Personal Information from any person under the age of 13. If you are under 13, please do not attempt to use the Services or send any Personal Information to us. We do not knowingly sell or share the Personal Information of any person under the age of 16, and we do not use the Personal Information of persons under 16 for targeted advertising.
In the course of providing the Services, Ecopia may provide you with links to third-party websites, plug-ins, services, social networks, or applications. Clicking on those links or enabling those connections may allow the third party to collect or share data about you. If you follow a link to a third-party website or engage a third-party plugin, please note that these third parties have their own privacy policies and we do not accept any responsibility or liability for these policies. We do not control these third-party websites, and we encourage you to read the privacy policy of every website you visit.
Collection of Information
Ecopia may collect Personal Information you knowingly provide to Ecopia in the course of using or accessing the Services, such as, for example, your name, job title, contact information (such as email address, phone number, and address), billing and account information, and any other information you may choose to provide to Ecopia (for example, if you are applying for a job with Ecopia, Ecopia may also collect information relating to your academic and work history). We may communicate with you if you have provided us with the means to do so. If you do not want to receive communications from us, you can indicate your preference by responding to our communications.
Information may be collected when you register online on our websites, register for a webinar or information session, purchase any of Ecopia’s products or services, or otherwise communicate with Ecopia via email or other means. Information is collected by Ecopia to allow Ecopia to manage your account or purchases, to facilitate your access to and use of the Services, to promote Ecopia’s products or services, or for any other purpose for which you provided the information to Ecopia. You have the right at any time to stop Ecopia from contacting you for marketing or promotional purposes. If you no longer wish to be contacted for marketing or promotional purposes, please contact [email protected]. If your request is denied, you will receive an explanation as to the reason.
When you interact with our Services, we may receive and record information on our server logs from your browser or device, which may include your IP address (from which we may derive your approximate location, such as city, region, and country), your device and browser type, operating system and language settings, referring and exit URLs, the pages and features you view, the actions you take (such as clicks, taps, scrolling, and interactions with forms), and the dates, times, and duration of your sessions, together with “cookie” information and information collected through similar technologies such as pixels, software development kits, browser local storage, and session storage. Ecopia may collect such information for the purposes of (i) tailoring content that Ecopia may provide to you, (ii) authenticating you or enabling access to information, (iii) better understanding your digital interactions with Ecopia, (iv) measuring and improving the performance, reliability, and usability of our Websites and the Ecopia Platform, or (v) diagnosing and resolving technical problems and detecting and preventing fraud, abuse, and security incidents. Analytics, Product Usage, and Session Recording
We use third-party analytics and product-experience tools to understand how visitors and users interact with our Websites and the Ecopia Platform. Our principal analytics provider is PostHog, a product analytics platform provided by PostHog, Inc. We may also engage other web analytics and session recording providers from time to time. Each of these providers acts as our service provider and processes information on our behalf, under our instructions, and under a written data processing agreement that prohibits it from using that information for its own purposes. A current list of the analytics and session recording providers we engage is available on request using the contact details under “Your Rights”.
Through these tools we may collect: a pseudonymous identifier assigned to your browser or device; events describing your interactions with our Websites and the Ecopia Platform (for example, pages viewed, links and buttons clicked, features used, and forms started or submitted); technical information about your device, browser, and connection, including your IP address; the approximate geographic location derived from your IP address; and, where you are signed in to the Ecopia Platform, an identifier that allows us to associate that activity with your account.
We use the full range of functionality offered by our analytics provider. In addition to the collection described above, this includes: automatic capture of interactions such as clicks and form submissions without our having to specify each one in advance; optional in-product surveys, which collect the responses you choose to submit; feature flags and product experiments, which may cause different users to see different versions of a feature and which record which version you were shown; and error and performance monitoring, which records technical diagnostic information when something goes wrong, including the context of the request that failed.
Session recording. Our analytics and session recording tools may also capture a reconstruction of your visit — including mouse movements, clicks, scrolling, and the content displayed on the pages you view — so that we can diagnose errors and improve usability. Session recording operates both on our public Websites and within the signed-in Ecopia Platform, and where you are signed in, a recording can be associated with your account. We configure these tools to mask text entered into input fields, and passwords are never captured. We do not use session recordings to monitor the performance or conduct of individual users, and we disable session recording on pages where payment or credential information is entered. If you are an authorized user of a customer’s Ecopia Platform account, your organization’s agreement with Ecopia also governs how information about your use of the Platform may be collected and used.
Information collected through these tools is hosted on cloud infrastructure operated in the United States, and is retained for no longer than twelve (12) months for analytics event data and thirty (30) days for session recordings, after which it is deleted or irreversibly aggregated. You may opt out of analytics and session recording at any time through our cookie banner or by contacting us using the details under “Your Rights”. We do not sell information collected through these tools and we do not use it for cross-context behavioral advertising.
In some cases, in the course of offering Services to you or otherwise in the course of our business, we may also acquire Personal Information from third parties, for example, where Ecopia is acting as a service provider to a third party or as a processor for a third party.
Use of Information
We may use information that we collect about you or that you provide to us, including any Personal Information: to present our Services and its contents to you; to provide you with the Services; to fulfill the purposes for which you provided the information or that were described when it was collected, or any other purpose for which you provide it; to carry out our obligations and enforce our rights arising from any contracts with you, including for billing and collection or to comply with legal requirements; to notify you about changes to our Services or any products or services we offer or provide though it; to improve our Services, products or services, marketing, or customer relationships and experiences; to analyze and measure how our Websites and Services are used, including through the analytics and session recording technologies described above, and to develop, test, secure, and improve our Services; in any other way we may describe when you provide the information; or for any other purpose with your consent.
Except as otherwise permitted or required by applicable law or regulation, we will only retain your Personal Information for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. Under some circumstances we may anonymize your Personal Information so that it can no longer be associated with you. We reserve the right to use such anonymous and de-identified data for any legitimate business purpose without further notice to you or your consent. We maintain a retention schedule that sets standard retention periods for each category of Personal Information: account and billing records are retained for the duration of the customer relationship and for seven (7) years afterwards to satisfy legal, tax, and audit requirements; analytics event data and session recordings are retained for the periods described under “Analytics, Product Usage, and Session Recording” above; and marketing contact information is retained until you unsubscribe or after twenty-four (24) months of inactivity, whichever is earlier.
Disclosure to Third Parties
Ecopia may be required to disclose your information to comply with court orders, or to comply with applicable law or legal process. Ecopia may also disclose your information if Ecopia believes that such disclosure is necessary to protect the rights, property or safety of Ecopia or any other party.
Ecopia may also disclose your information to: Ecopia’s subsidiaries and affiliates; Ecopia’s contractors, service providers, or other third parties who are contractually bound to protect your information and to only use your information for the purposes for which the information was disclosed; a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of Ecopia’s assets in which Personal Information held by Ecopia about our customers and users is among the assets transferred; or any other person or entity with your consent. Ecopia may disclose information from or about you without your consent or any other restriction, except as prohibited by applicable law, as long as this information does not personally identify you.
We do not sell your Personal Information for money or other valuable consideration, and we do not share it for cross-context behavioral advertising or targeted advertising, as those terms are defined under applicable United States state privacy laws. We have not done so in the preceding twelve (12) months. A current list of the categories of service providers we engage, and the categories of Personal Information disclosed to each, is available on request.
We may process, store, and transfer your Personal Information in and to jurisdictions outside your province, state, or country of residence — including the United States and Canada, where our cloud infrastructure and certain of our service providers (including our analytics and session recording providers) operate — which may have privacy laws that are more, less, or as comprehensive as Canadian law. In these circumstances, the governments, courts, law enforcement, or regulatory agencies of that country may be able to obtain access to your Personal Information through the laws of that country. Ecopia uses contractual and other means to provide a comparable level of protection for Personal Information while it is being processed by a service provider.
Safeguards
Ecopia protects information by using physically secure facilities, password protection, standard security practices and tools and well-defined internal policies and practices. However, the transmission of information via the internet is not completely secure, and Ecopia cannot guarantee the security of any information you provide to us over the internet. Any transmission of information is at your own risk. Ecopia is not responsible for circumvention of any privacy settings or security measures contained on our Websites or in other interactions and communications from you to Ecopia. Ecopia maintains an incident response plan and keeps a record of breaches of its security safeguards. If a breach involving your Personal Information creates a real risk of significant harm to you, we will notify you and the appropriate office of the privacy commissioner as soon as feasible, as required by applicable law. Access to Personal Information within Ecopia is limited to personnel who require it to perform their duties.
Your Rights
You are entitled to:
- request copies of your information in Ecopia’s possession, free of charge (we may charge a reasonable fee for, or decline to act on, a request that is manifestly unfounded, repetitive, or excessive, and we will explain our reasons if we do);
- request that Ecopia complete or modify any of your information that you believe to be incomplete or inaccurate;
- request that Ecopia delete your information, under certain conditions;
- request that Ecopia restrict the processing of your information, or object to Ecopia’s processing of your information, under certain conditions; or
- request that Ecopia transfers your information to you, or to another party, under certain conditions.
- withdraw your consent to our collection, use, or disclosure of your information at any time, subject to legal or contractual restrictions and reasonable notice;
- opt out of the use of analytics, session recording, and similar technologies, including by means of a browser-based universal opt-out signal such as Global Privacy Control where we are required to honor it;
- not be subject to discriminatory treatment for exercising any of these rights; and
- appeal a decision by Ecopia to refuse to act on your request, as described below.
Depending on your jurisdiction of residence, local privacy laws may give you the rights described above, including the right to confirm whether we process your Personal Information; to access, correct, delete, and obtain a portable copy of it; to opt out of its sale, its sharing or use for targeted advertising, and its use for profiling in furtherance of decisions producing legal or similarly significant effects; and to limit our use of sensitive personal information. Ecopia does not sell Personal Information, does not use it for targeted advertising, and does not process sensitive personal information for the purpose of inferring characteristics about you.

We may ask you for information sufficient to verify your identity and, where an authorized agent submits a request on your behalf, for evidence of that authority.
Ecopia will respond to your request within thirty (30) days, or within forty-five (45) days where a longer period is permitted by applicable United States state privacy law, and will notify you if we require an extension. If we decline to act on your request, we will tell you why, and you may appeal that decision by writing to the Privacy Officer at the address above with the subject line “Privacy Request Appeal”. We will respond to an appeal in writing, with reasons, within sixty (60) days.
If you have any questions, concerns or complaints about this Privacy Policy or compliance with applicable privacy laws, please contact Ecopia. Ecopia will investigate and attempt to resolve all complaints. If you are not satisfied with our response, you may also submit a complaint to the Office of the Privacy Commissioner of Canada, or to the office of the Attorney General of your state if you are a resident of a United States state with a comprehensive privacy law.
